This Privacy Policy explains what information Near Base Rentals (the operator of this site) ("we" or "us") collects on nearbaserentals.com and community.nearbaserentals.com (the "site"), how we use it, and who we share it with.

The short version

When you send a renter request or a tour or contact request, it comes to us, and we may pass it to landlords or property managers near the base you picked so they can contact you. We don't currently share your request with paid partners.
PCS board posts and reviews are shown publicly without your name or email.
We count page views without cookies and we don't use advertising trackers.
You can ask us to access, correct or delete your information, or to stop selling or sharing it, by emailing leads@nearbaserentals.com.

1. Information you give us

Renter requests and tour or contact requests

Renter request form: the base, move date, budget, number of bedrooms, your name, email, phone number and any notes.

Tour or contact request for a listing: your name, email, phone number and message.

We may share these requests with landlords and property managers near the base you requested so they can contact you about rentals. We don't currently share your request with paid partners. Once a landlord has your request, they may contact you directly and they handle your information under their own practices.

Landlord listings and claims

When you list or claim a property, we collect a contact name, email, phone number, property details, rent and photos. Listing details and photos are shown publicly on the site. Your email and phone number are not shown publicly.

PCS board posts

A PCS board post includes your rank or pay grade, base, arrival month, budget, bedrooms, notes and email. The post is shown publicly without your name or email. Landlords may respond to your post, and we forward their responses to the email you gave us.

Reviews

A review includes your written text, a star rating and a .mil email address. We use the .mil email only to send a one-time verification code. It is not shown publicly. Reviews appear as "Verified military" with no name.

Community forum

If you join the community forum, we collect your username, the email you use to verify your account (such as a .mil address, or details for the family or sponsor verification path), your posts and replies, and any reports you file. Posts show your username publicly. Your email is not shown. We keep moderation records such as reports and mod actions. The public mod log shows only the action, the moderator and the time.

Feedback and surveys

Feedback form: what you were looking for, an optional base, your note and an optional email. Feedback is sent to our team inbox.

PCS survey: your role, branch, from and to bases, month and year of your move, pain points and open answers. The survey is anonymous unless you choose to give an email. You can add an email for a follow-up only if you check the consent box, and we use it only for that follow-up.

We may publish summaries or short excerpts of feedback and survey answers, such as on a "You said, we're doing" page. We never publish your name or email with them.

Alerts (push notifications)

If you turn on alerts for a base, we store your browser's push subscription (an endpoint web address and keys) and the base you chose. We delete it when you turn alerts off or when the subscription expires.

2. Information collected automatically

Analytics

We count page views with our own first-party, cookieless analytics. Our hosting provider's privacy-friendly analytics, which also uses no cookies, may be used too. We don't use advertising trackers or cross-site tracking cookies.

Local storage

The site saves small settings in your browser's local storage, such as a banner you dismissed, which base's alerts are on, and your choices in the BAH tool. These stay on your device and are not sent to us, except as described in this policy (for example, when you turn on alerts).

Location

The home page may use an approximate, city-level location based on your IP address to show the nearest base. We don't store that location.

If you tap "near me," your browser asks once for your precise location. It is used only in your browser to pick the nearest base. It is not sent to us or stored.

IP addresses and logs

To prevent spam on the feedback form, our rate limiter keeps a one-way hash of your IP address for 24 hours. Our servers may also log IP addresses briefly for security.

3. How we use information

To run the site and its features, including matching renter requests with landlords near the right base.
To send verification codes, forward landlord responses, and reply to you.
To send alerts you turned on.
To understand how the site is used and to improve it.
To prevent spam, fraud, scams and abuse, and to enforce our Terms of Use.
To comply with the law.

4. How we share information

We share personal information in these ways:

With landlords and property managers. Renter requests and tour or contact requests may be passed to landlords and property managers near the base you requested. We don't currently share your request with paid partners. Landlord responses to PCS board posts are forwarded to you.
Publicly, when you post. Listings, photos, reviews, PCS board posts and forum posts are public as described above.
With service providers who process data for us, such as our hosting and content delivery provider and our transactional email service. They may use the information only to provide services to us.
For legal reasons. When we believe it's required by law, a court order or legal process, or needed to protect the rights, safety or property of our users, the public or us, including to investigate scams.
In a business transfer. If we are involved in a merger, acquisition, financing, sale of assets or similar transaction, information may be transferred as part of it.
With your consent or at your direction.

5. "Do Not Sell or Share My Personal Information"

We don't currently share your request with paid partners, and we don't sell personal information. If that changes, sharing renter requests with landlords who pay us may count as a "sale" or "sharing" of personal information under some state privacy laws. You can opt out now, and we will honor it.

To opt out, email leads@nearbaserentals.com with the subject "Do Not Sell or Share My Personal Information." Please include the email or phone number you used on the site. After you opt out, we will record your choice and will not share your future requests with paid partners.

6. Do Not Track and Global Privacy Control

We don't track you across other websites, and we don't allow third parties to do so on our site. Where the law requires, we treat a browser's Do Not Track signal or Global Privacy Control (GPC) signal as a request to opt out of the sale or sharing of your personal information.

7. Cookies

Our analytics doesn't use cookies, and we don't use advertising or cross-site tracking cookies. Some features may use cookies or similar storage that are needed for the site to work, such as keeping you signed in to the community forum or protecting forms from spam. You can clear cookies and local storage in your browser settings at any time.

8. How long we keep information

Leads, posts and feedback: kept as long as needed to provide the service and for record-keeping, generally up to 24 months after your last activity. Then we delete or anonymize them.
Push subscriptions: until you turn alerts off or the subscription expires.
IP address hashes from the feedback rate limiter: 24 hours.
Security logs: kept briefly.

We may keep information longer if the law requires it or to resolve disputes, prevent fraud, or enforce our Terms.

9. Your choices and rights

You can ask us to access, correct or delete the personal information we have about you. Email leads@nearbaserentals.com with your request and the email or phone number you used on the site. We will respond within 30 days. We may need to confirm your identity first.

Turn off alerts at any time from the base page, or in your browser settings.
Clear local storage in your browser settings.
Landlords who already received your request keep their own copy under their own practices. To have it deleted, contact them directly.
Public content that others have already copied may not be fully removable.

10. State privacy rights (California and others)

Depending on where you live, including California and other states with privacy laws, you may have the right to know what personal information we collect, use and share; to access, correct or delete it; to opt out of its sale or sharing; and to not be treated differently for using these rights. You may use an authorized agent where the law allows. To make a request, email leads@nearbaserentals.com. If we deny your request, you may be able to appeal by replying to our decision.

11. Children

The site is not directed to children under 13, and we don't knowingly collect personal information from them. If you believe a child under 13 has given us personal information, email leads@nearbaserentals.com and we will delete it.

12. Security

We use reasonable measures to protect your information. No website or system is completely secure, and we can't guarantee the security of information you send us.

13. Other websites

The site links to property websites, maps and other sites we don't control. Their privacy practices are their own, so please review their policies.

14. Changes to this policy

We may update this Privacy Policy. When we do, we will change the effective date at the top. If a change is significant, we will make a reasonable effort to give notice, such as a notice on the site.
